Assigning Account Periods

After uploading bank statement files, each file must be assigned to the correct account in Valid8. This process links extracted statement data to the appropriate account so that transactions are properly organized within the engagement. Assignments can be made at either the account level or the individual account period level.

 

Steps

  1. From the process map, click the Bank Statements tile.
  2. In the Statements window, click the Statements icon in the upper left-hand corner to switch to the statements list view.
  3. Review the Chevrons at the top of the window. Each Chevron displays the number of statements in that stage of the workflow. Locate the unassigned Chevron to see how many statements still need to be assigned.
  4. In the statement list, each row represents an account period extracted from an uploaded file. Columns include the account name, document type, original file name, and account period details.
  5. Select the checkboxes next to the statements you want to assign. You may select at the account level (all periods for that account) or at the individual account period level.
  6. Click the To Assign icon (checkmark icon).
  7. In the Assign Account window, select the account you want to assign the statements to, then click Save.
  8. Return to the Statements window. The assigned statements will now appear linked to their account in the correct order. The unassigned Chevron count will decrease to reflect the completed assignments.

Tips & Common Questions

  • Valid8 groups statements automatically. Statements are grouped based on account information extracted from the file — making it easier to view and assign related statements together.
  • Chevron counts update in real time. Once all selected statements are assigned, the unassigned Chevron will display zero.
  • Assignment can be done in bulk. Select multiple rows at once to assign several statements to the same account in a single action.
