Creating an Engagement

An engagement is the central project workspace in Valid8 where all accounts, statements, and analysis are organized. Multiple users can access and collaborate within a single engagement. Only users with administrative privileges can create engagements and assign users to them.

Before You Begin

Have the following information ready before starting:

  • Administrative privileges in Valid8
  • Engagement name and optional description
  • Base currency for the engagement

Steps

  1. Ensure you are on the Engagements tab in the Valid8 platform.
  2. Click the + icon in the upper left-hand corner of the window.
  3. Enter a Name for the engagement. This name is visible to all users assigned to the engagement.
  4. Optionally, enter a Description. This is for internal use only and does not display to end users.
  5. Select the Currency from the dropdown. All new accounts will default to this currency. If an account is created with a different currency, the multi-currency feature will activate automatically.
  6. Under Global Admin Access, choose your access setting. The default is Allow Access, which permits the Valid8 support team to view the engagement. Select Block Unless Specifically Granted to restrict all external access.
  7. If needed, check Enforce Withdrawal First. When enabled, transfer matches will require the withdrawal to occur before or on the same day as the deposit. This option is unchecked by default.
  8. Review the Normalized Payer and Normalized Payee settings. When selected, check transcription details will use the account name instead of the transcribed payer/payee name. Both are selected by default.
  9. Optionally, set Verification Start and End Dates. These define the date range used when the Match Cash Bank process runs with accounting extract data. If left blank, the dates are set automatically when the accounting extract is first run and can be updated when a match is run.
  10. Click Save. The new engagement appears in the engagement list.
  11. To edit an engagement after creation: check the checkbox next to the engagement name, click the Edit icon, modify the desired fields, and click Save.

Tips & Common Questions

  • Only admins can create engagements. If you do not see the option to create an engagement, check with your system administrator about your permission level.
  • Currency selection affects all accounts. Choose the base currency carefully — it becomes the default for every account created within the engagement, and switching later may require updating individual accounts.
  • Global Admin Access controls Valid8 support visibility. If your engagement involves sensitive data, consider setting this to Block Unless Specifically Granted.
  • Engagement settings can be edited at any time. Use the checkbox + edit icon workflow to update any field after the engagement has been created.
