Resolving a Date Overlap Error on a Statement

A statement is unreconciled. When you open it, the error reads:

The Reconcile button is unavailable, and on the account's timeline the statement shows a yellow bar.

What the error means

Two statement periods assigned to the same account cover at least one of the same calendar
days. Any shared day counts, including a single shared boundary day. A statement running
1/10–2/9 followed by one running 2/9–3/10 overlaps, because the first and last day of each
period are both included in the comparison.

This is most apparent on credit card accounts, whose printed cycles sometimes genuinely do repeat the
boundary date: a statement ending 2/9 followed by one beginning 2/9 is normal on paper and will
still be flagged. Those statements are not wrong, and one of the two dates has to move by a day
before they will reconcile.

Which situation do you have

The message is identical for every kind of overlap: it never says "duplicate" or "shared day",
and never tells you which statement is at fault. Identify your situation first: Open the
file for each of the two statements that share dates and compare them.

  • Back-to-back statements sharing one day. Two genuinely different periods, where either a
    date on the cycle repeats the boundary date for both statements.
  • One period sitting inside another — say 6/17–7/18 alongside 6/17–7/9.
  • The same statement loaded twice. Duplicate detection compares the file itself, not the
    period(s) they cover.

Start and end dates are read from the uploaded document during processing.

Fix it

Dates can only be edited while a statement is still unreconciled. Use the Unreconcile button first if
you need to.

Statements sharing one day. This changes the period's own dates
only: transactions keep the dates they were read with, and existing matches are untouched.

The year was read incorrectly. Use Change Year, not a retyped date. Change Year
moves the period and every transaction inside it together.

One period inside another. Open the files to compare them. The partial statement may need to be un-assigned or
re-assigned to a different account.

A true duplicate. Un-assign or delete the copy you do not want.

What each action costs you

People often leave an overlap unresolved for fear of losing work:

  • Unreconcile — a status change only. Nothing deleted, no matches lost.
  • Editing dates or balances and saving — changes the period's own values only; transactions
    and matches are left alone.
  • Unassign — detaches the period and its transactions from the account. Nothing is
    deleted, but their existing matches are cleared, and transactions are not included in analysis.
  • Change Year and Invert Signs — clear existing matches on the affected
    transactions. "Invert Signs" applies to the whole period, never to a selection.
  • Delete Statement — removes the statement, the uploaded file, every transaction loaded from it, and any matches
    they were part of. Offered only once a statement is unreconciled, and confirms under
    "Delete Statements" with "ARE YOU SURE YOU WANT TO DELETE THIS STATEMENT".

Before you delete and re-upload

Re-uploading the same file after deleting a statement is often rejected as a duplicate, and for
some statements it will be rejected every time with no self-service way around it, because
deleting does not release the copy held by our service that processed it. A
re-exported or re-scanned copy has a better chance than the identical file.

If you are stuck in that loop, contact support and ask for the file to be reprocessed.
Support can re-run extraction on a file already held, with no new upload; no customer role can
do this. Include the engagement name, the account, the
statement period and the file name.

What it blocks

An overlap cannot be forced through. Reconcile stays unavailable until it is resolved, and
Auto Reconcile refuses to run, reporting:

Cannot auto reconcile current statement due to other errors in the review panel. Please
correct these errors and try again.

Reconciling several statements together is all-or-nothing: if any one has a problem, none are
reconciled — including those that were fine — and you will see:

Not all Statements reconciled due to data issues. Please check the individual statements.

Other messages you may see alongside it

A statement can carry several issues at once and will not reconcile while any remain, so the
list may show "Balance check error variance not zero" or "Statement start date after end date"
alongside the overlap.

Hovering the warning icons on the date and balance fields gives a longer message in the
screen's own wording, not the same text as that list:

  • "The prior statement end date overlaps with the current beginning date"
  • "The current statement beginning date overlaps with the prior end date"
  • "The current statement end date overlaps with the next beginning date."
  • "The next statement beginning date overlaps with the current end date."
  • "The current statement beginning date overlaps with its end date."
  • "Statement GAP (BALANCE difference)" and "Date Gap (No Balance Difference)"
