Deleting or Closing an Engagement

An engagement is finished — the matter settled, the case closed, the analysis complete — and you want to know how to remove it from your list or archive it.

Engagement deletion is staff-only

There is no customer-accessible control to delete an entire engagement. Not for Engagement Owners, not for Customer Admins, and not through any admin console or settings screen. Engagement deletion is a Valid8-staff-only operation, authorized only for Valid8 employees.

If you want an engagement deleted, you must contact Valid8 Support and request it. Include in your request:

  • The exact engagement name (as it appears in your engagement list)
  • Your organization or customer name
  • A brief reason for the deletion (e.g., matter concluded, created in error, consolidating duplicate engagements)
  • Confirmation that you understand the deletion is permanent and cannot be undone

What gets deleted

When an engagement is deleted, the removal is immediate and total:

  • All data inside the engagement is destroyed: every transaction, match, account, statement period, check item, account period, story, entity, custom field, category, reconciliation record, report, and visualization.
  • All uploaded files are removed: the engagement's document storage — every statement PDF, check image file, transaction CSV, and cash journal extract — is emptied.
  • All access grants are removed: every user's assignment to that engagement is deleted. If a user's only access was to this engagement, they will see an empty engagement list after deletion.
  • All processing jobs and metadata are removed: extraction jobs, match runs, cached metrics, and every internal record tied to the engagement.

This is a hard delete, not a status flag. The engagement does not become "archived" or "inactive" — it is removed from the database entirely. Nothing about this is reversible, and support does not have a restore tool either.

There is no "close but keep" option

If "closing" an engagement means marking it as complete without deleting it, no such status exists in the product. Engagements do not have an "active" versus "closed" flag, and there is no archive function that hides completed engagements from your list while preserving their data. The only options are: the engagement exists and is accessible, or it is deleted and gone.

Some organizations use naming conventions or descriptions to indicate that an engagement is no longer active — for example, prefixing the engagement name with "[CLOSED]" or moving it to a separate organizational folder outside Valid8. If you want to preserve the data but indicate that work is complete, consider exporting the key reports and transaction data first, then leaving the engagement in place with a clear "closed" indicator in its name.

If you just want to stop seeing it

If you don't want to delete the engagement but no longer need to work in it yourself, you can ask an Engagement Owner or Customer Admin to remove your individual user assignment from that engagement. This removes it from your personal engagement list without affecting anyone else's access or deleting any data. The engagement remains intact for other users who are still assigned to it.

Before you request deletion

Because deletion is permanent, consider whether you actually need the engagement removed or whether archiving the data outside Valid8 is a better fit:

  • Export the key reports first. Run and save the Financial Activity Report, transaction exports, and any visualizations or summaries you may need later. Once the engagement is deleted, you cannot regenerate these.
  • Check whether anyone else still needs access. Engagement deletion removes access for every user, including Customer Admins and other Engagement Owners. If anyone on your team might need to reference the data later, coordinate before requesting deletion.
  • Confirm you won't need to re-upload the same data. If there's any chance you'll need to reload the same statements or files in the future — for example, if the matter reopens or a related case is filed — deleting the engagement means starting over from scratch.

There is no restore

Once an engagement is deleted, nothing can be recovered.
