Editing Check Details: Handwriting, Dates, Payee and Payor

You're trying to correct handwriting Valid8 read incorrectly on a check — a date, a payee, an
amount — and the field won't let you type into it.

The rule: editability depends on status

Check item fields are editable only while the item is in TO MATCH or TO APPROVE. Once an item
reaches Matched, every field on it becomes read-only. If the check you're trying to fix already
shows Matched, that's why nothing responds — you need to unmatch it first, which returns it to
TO MATCH and makes it editable again.

The fields that follow this status rule (editable in TO MATCH or TO APPROVE, locked once
Matched) are: DATE:, SERIAL:, PAYEE:, PAYOR:, ACCOUNT:, and MEMO:.

The extra restriction on Amount

AMOUNT: is stricter than the fields above. It is only editable while the item is in TO MATCH
not TO APPROVE — and only for three item types: Deposit Slip, Front, and Withdrawal Slip.
Cash and Adjustment lines are never editable, at any status, because Valid8 generates and

Item type itself — whether a check is recorded as a Front, Back, Deposit Slip, Cash,
Adjustment, Transfer Ticket, or Withdrawal Slip — is never editable, regardless of status.

Who can do this

Editing is otherwise available to any user with field-edit rights on the engagement. One detail
worth knowing if an action seems to work for a colleague but not for you: the checkbox column used
to select rows for matching and other bulk actions is hidden entirely for a user without a
working engagement role on that project — not merely greyed out. If you don't see the checkbox
column at all, that's a role difference, not a bug specific to your login.

Fixing a misread field
  1. Confirm the item's status. If it shows Matched, unmatch it first — this does not delete the
    item or its history, it returns the item to TO MATCH so its fields open up again.
  2. Open the item and correct the field. Date problems specifically — an illegible or missing date

  3. Save. The corrected value is used going forward for matching and reporting; it does not change
    the underlying check image.
Tips
  • If you can edit everything except the amount, check the item type — amount editing is limited to
    Deposit Slip, Front, and Withdrawal Slip, and only in TO MATCH.
  • If nothing on the row is editable, check status before anything else — Matched locks the whole
    row.
  • If a coworker can select rows and you can't, ask about your engagement role before assuming
    something is broken — the selection checkbox is hidden, not disabled, for the wrong role.
