Setting User Access for an Engagement

Administrators can control which users have access to a specific engagement and what level of access they have. There are two engagement roles: Engagement Owner (full view and edit access) and Engagement User (view-only access). Users can be added, removed, or have their role changed at any time. The Engagement Owner role is automatically assigned to the user who created the engagement.

 

Before You Begin

Have the following ready before starting:

  • Administrative privileges in Valid8
  • The user(s) to be added must already exist in the Valid8 platform

Steps

  1. Click on the Engagements tab.
  2. Search for the engagement by typing its name in the search field at the top of the window, or browse the list.
  3. Check the checkbox next to the engagement you want to manage.
  4. Click the Manage Users icon. A list of users currently assigned to the engagement will appear.
  5. To add a user, click the Add User icon. Select the role for the new user:
  6.    • Engagement Owner: Full view and edit access, including the ability to view accounts, statements, transactions, transfers, and cash flows; add and update accounts; upload and reconcile statements; export transactions and balances; manage transaction categories; and view and approve transfers.
  7.    • Engagement User: View-only access to all data in the engagement. Cannot make edits.
  8. Search for the user by name in the filter field. Check the checkbox next to their name, confirm their role, and click Save. The user will appear in the engagement user list.
  9. To change a user's role after they have been added: click the Role icon next to their name to toggle between Engagement Owner and Engagement User.
  10. To remove a user from the engagement: check the checkbox next to their name and click the Remove User icon.

Tips & Common Questions

  • Admin access required. Only users with administrative privileges can add, remove, or change the role of a user in an engagement.
  • Engagement Owner is automatically included. The user who created the engagement is automatically assigned the Engagement Owner role and will always appear in the user list.
  • Engagement Owner vs. Engagement User. Assign Engagement Owner to team members who need to work within the data. Assign Engagement User to stakeholders or reviewers who only need to view findings.
  • Removing a user does not delete them from the platform. It only removes their access to that specific engagement.
