After statements (account periods) have been assigned to Accounts, you may have gaps where there is no statement data covering a number of account periods. This will display on the main dashboard, similar to this:
Hovering over the clear white space between the reconciled accounts will pop up an indicator that shows the date range that there are no Account Periods for.
Note that a statement that has been uploaded with no transactions (but still a beginning and ending balance) will show as a reconciled Account Period. Which means it will be graphically represented as a green bar for that date range. So a data gap as shown above, is not the result of a zero transaction account period. It indicates an absence of statement data for that date range.
The most common reason for this gap in Account Periods is that the statement(s) for this date range were not uploaded.
Fixing the Gap
There are two methods for fixing the gap:
- If you have the statement file that represents the gap, you can uploading the missing statement(s). This will create the account period(s) for the missing date range.
- If you don't have the statements for this missing period and you want to show the complete data range being reconciled, you can follow these steps:
- Open the Account Period to the immediate left of the blank date range (the preceding period).
- Put this reconciled period into edit mode by clicking the Unreconcile button.
- Extend the End Date so that it covers up to an including the last blank date.
- In the example above you would extend the Account Period that finished on 01/15/21 to now be 02/19/21.
- Add a transaction with the appropriate amount so that the ending balance equals the starting balance of the next statement.
The second method is typically deployed when the missing date range covers a transaction balance that is immaterial. For instance a 0.02 month, where the only transaction is a nominal interest amount, but you do not have the statement PDF.
Troubleshooting Hints
Frequently, the individual statement periods for an account are in separate files. So if you have 11 account periods with one gap, you can confirm the number of statements files you have uploaded.
While on the Bank Statements screen, go to the All, Statement Files view. You can view all the individual files that were uploaded. If you have a naming convention on your files, you can use the filter to search for just that account - and then confirm that there are 11 uploaded files.
The example above will filter the list of filenames where 3057 (the account number) is part of the filename.
